Borrowing Rights
Borrowing refers to a member of the Koç University community checking an item, such as a book, out for a temporary period of time the length of which is specified by the Library. Items available to be borrowed through the Koç University Library system include books, DVDs, and technical hardware such as iPads and more. Circulation refers to the lending of these items to the Library’s users, and the keeping of records with regards to these loans.
Policies on circulation are meant to assist users in accessing library materials in ways most conducive to their study or research. Materials that are frequently consulted or heavily used- like encyclopedias, dictionaries and reserve materials- may not be taken outside the Library. All other materials may be checked out through the self-check machine and at the Information Desk located on the Ground floor. Reserve materials may be checked out at the Reserve/Information Desk on the Ground Floor, located on the left as you enter the Library.
Borrowing Privileges
Borrowing policies are designed to ensure prompt and equitable access to library materials. The length of borrowing periods and specific loan regulations for some materials vary depending on the identity of the user.
KU Students (Undergraduate)
- 25 books, audio-books/cd-roms, 30 days, 1 renewal
- 5 reserve materials, 2 hours, no renewal
- Online renewal permitted before an item’s due date, or, for books, through the end of the 3-day grace period
- Document delivery services: intercampus loan service, 5 article requests, no access to books by interlibrary loan
KU Students (Graduate and Post Graduate) and Graduate Assistants to KU Faculty
- 50 books, audio-books/cd-roms, 90 days, 1 renewal (30 days)
- 5 reserve materials, 2 hours, no renewal
- Online renewal permitted before an item’s due date or, for books, through the end of the 3-day grace period
- Document delivery services: Intercampus loan service, 5 article requests, 5 books via interlibrary loan
KU Full–Time & Part-Time Faculty
- 100 books, audio-books/cd-roms/videos/audiotapes/dvds for classroom use, 1 year, no renewal, books can be recalled upon a request from another user
- Current journals can be taken out on overnight/weekend loan (5:45 pm – 9:00 am)
- Online renewal permitted before an item’s due date or, for books, through the end of the 3-day grace period
- Document delivery services: intercampus loan, 10 article requests, 5 books via interlibrary loan
Other KU Faculty
- 50 books, audio-books/cd-roms/videos/audiotapes/dvds for classroom use, 90 days, 2 renewals
- Current journals can be taken out on overnight/weekend loan (5:45 pm – 9:00 am)
- Online renewal permitted before an item’s due date or, for books, through the end of the 3-day grace period
- Document delivery services: intercampus loan, 10 article requests, 5 books via interlibrary loan
KU Administrative Personnel, KUH Staff
- 25 books, audio-books/cd-roms, 30 days, 1 renewal
- Current journals on overnight/weekend loan (5:45 pm – 9:00 am)
- Online renewal permitted before an item’s due date or, for books, through the end of the 3-day grace period
- Document delivery services: intercampus loan, 10 article requests, 5 books via interlibrary loan
All Current KU Students
- 2 DVD/VCDs, 3 days, 1 renewal (renewal is for a single additional day)
- 1 iPad, 2 days per week, reservation required
- 1 notebook, 3 days, 1 renewal
- 1 calculator, 4 hours, 4 hours renewal
External Members:
- 10 books, 30 days, 1 renewal
- Online and email renewal permitted on/before due date, if the account is in good standing
- Renewals are permitted by telephone or online through the Library’s web page.
- A fine is assessed for every day a book is overdue. A user’s account is suspended as long as any book is overdue and/or a fine is unpaid.
- A replacement charge plus a processing fee will be assessed for any item which is returned in damaged condition or more than two weeks late (one day late in the case of a recalled item).
The following library services are NOT provided to External Members:
- Remote access to the Library’s online resources. Please note that extension of this privilege would violate license agreements.
- Borrowing of Audio-Visual materials or Technical Hardware (iPads, etc.)
- ILL and article request services
Overdue Items Policies and Procedures
E-mail Notification
E-mail notices are sent to the user in order to warn them about their borrowed materials before they become overdue. E-mail notices are also sent for recalled materials to avoid overdue charges. The user receives overdue notices for 3 days following the due date. Users returning or renewing their materials during this grace period will not be subject to any overdue charges. Any material returned or renewed after the grace period will be subject to overdue fees, which will include charges for the three-day grace period.
Fines & Fees
The fine for most overdue materials is 1.25 TL per item per day. Any items returned after the grace period will receive fines for the entire overdue period, including the grade period. An item that is four days overdue will thus be subject to a 5 TL fine.
For DVDs (per day), AV materials (per hour), or reserve materials (per hour), the fine is 2.50 TL per day/hour. There is no grace period for these items.
Any loss or damage must be reported via Library Trackit or by e-mail to libcirculation@ku.edu.tr or by telephone at 0-212-338-1318. You will be charged the market value of the item, the 32.50 TL replacement fee, plus any overdue fines already incurred. The Health Sciences Library patrons may report via Library Trackit or sent e-mail to hslibinformation@ku.edu.tr or by telephone at 0-212-311 26 23.
Checking Out and Checking In, Renewals and Holds/ Recalls
Checking Out and Checking In Materials
Users may either check out or check in items via self-check machine or at a service desk, either from Circulation on the Main floor, or Reference on the Basement level. Users need to have activated My Account before they can borrow materials, and will need their Koç University identification card available for barcode scanning, whether using the self checkout machine or at a service desk.

All users may check out items by using Self-Check machine, is located on the Ground Floor.
Self-Check machine allows borrowers to check out their own books quickly and easily. Step-by-step instructions are displayed on an easy-to-use touch screen.
With the self-check machine, you can:
- Verify your privileges
- Control and check on your Library account
- Check out and renew books and circulating periodicals
- Desensitize items
- Print date due slips
- Check books back in to the Library (as long as they are not overdue)
- See your fines
Helpful tips for using Self-Check Machine:
- You must have a Library account to use Self-Check Machine. Visit the Information Desk to set up your account if you are new to the university.
- If the Self-Check machine does not scan the barcode on your KU ID card or of any particular book, or if there is a problem with your library account, please visit the Information Desk for assistance.
- Make sure the spine of the book you are checking out rests in the “V” of the machine.
